ISO 9001:2015 Quality Management
ISO 9001 for transport companies
Shippers, tender documents and forwarding partners often ask transport companies for proof of a working quality management system. Zertify issues the ISO 9001 certificate online. You answer 30 yes/no questions, you need 20 to pass, and the certificate follows within 4 hours after passing and payment.
01: Demand
Why customers ask transport companies for ISO 9001
A transport company sells reliability. Your customer hands over goods, deadlines and sometimes their own reputation. They cannot inspect your dispatch, your vehicles or your handover routine in advance. A certificate gives them a short, checkable signal that these things are managed.
The request usually comes from three directions. Industrial and retail customers include quality requirements in their supplier selection. Tender documents, especially from public institutions and larger buyers, often ask for evidence of a quality management system. Forwarders and main contractors pass the same requirement down to their subcontractors.
Requirements differ from tender to tender, so always read the exact wording of the document. In many cases an ISO 9001 certificate is the simplest answer to the quality question.
02: Processes and risks
Typical transport processes and risks that ISO 9001 addresses
ISO 9001:2015 does not prescribe how to run a fleet. It asks you to define your processes, control them and improve them. For a transport company, the daily work already contains the material. The standard asks you to make it explicit.
These are the areas where the process approach and risk-based thinking of the standard help most:
- Dispatch and route planning
- Risk: late deliveries and overloaded drivers. A defined planning process with clear cut-off times and responsibilities reduces last-minute decisions.
- Loading and handover
- Risk: damaged or missing goods. A checklist for loading, securing and signing over cargo makes the step repeatable and traceable.
- Proof of delivery
- Risk: disputes about what was delivered and when. Consistent records give you evidence when a customer questions a delivery.
- Vehicle and equipment maintenance
- Risk: breakdowns that stop a tour. Planned inspections and documented repairs keep downtime visible and manageable.
- Driver competence
- Risk: errors caused by missing instruction. Records of training, briefings and responsibilities show that people are qualified for their tasks.
- Subcontractor management
- Risk: quality loss when work is passed on. Selecting and evaluating partners by defined criteria keeps your promise to the customer intact.
- Complaints and damage claims
- Risk: the same problem returning. Recording each case, finding the cause and acting on it is the core of continual improvement.
03: Requirements
How a transport company meets the key requirements of ISO 9001
The standard follows a common structure of clauses 4 to 10. The table shows what each clause means in plain terms and what it can look like in a transport business of any size.
| Clause | What it asks for | Example in a transport company |
|---|---|---|
| 4 Context | Understand your organisation, customers and interested parties | A list of your main customers, their delivery expectations and the partners you depend on |
| 5 Leadership | Management sets a quality policy and takes responsibility | A one-page quality policy signed by the owner, with named people for dispatch, fleet and complaints |
| 6 Planning | Assess risks and opportunities, set measurable objectives | An objective such as fewer damage claims per quarter, with a plan for how to reach it |
| 7 Support | Provide resources, competence and documented information | Driver briefings on file, a maintenance schedule, up-to-date work instructions |
| 8 Operation | Plan and control the processes that deliver your service | Standard steps for quoting, loading, delivery and handover, plus checks on subcontractors |
| 9 Performance evaluation | Monitor results, review internally, review by management | Monthly review of on-time deliveries and complaints, discussed in a short management meeting |
| 10 Improvement | Correct problems and improve continually | A recurring damage case leads to a changed loading routine, recorded and checked later |
Small companies can meet these requirements with short, practical documents. The standard asks for what is useful for your operation, not for volume.
04: Preparation
Getting ready: five steps before the self-assessment
You do not need a consultant to prepare. A few hours of structured thinking are usually enough to answer the questions honestly.
Describe your core processes
Write down how an order moves from request to delivery and invoice. Keep it to one page.
Name responsibilities
Decide who owns dispatch, fleet maintenance, driver instruction and complaints.
Set two or three measurable objectives
Typical examples are the share of deliveries on time or the number of damage claims per month.
Collect your evidence
Gather maintenance records, training notes, delivery receipts and complaint logs you already have.
Check your gaps
Where a process only exists in someone's head, write it down briefly. That is often the only gap to close.
05: With Zertify
ISO 9001 for your transport company with Zertify
Zertify is an online platform for ISO certificates. You complete a self-assessment of 30 yes/no questions and need 20 correct answers to pass. SICE, the Swiss Institute of Certification and Education, reviews every assessment before the certificate is issued. The certificate itself is issued by G6 Agency AG under licence from SICE. It arrives within 4 hours after passing and payment.
There is no on-site audit. The certificate rests on your online self-assessment, and it is confirmed every year by a short online re-audit. Every certificate can be verified publicly by its number and QR code, so a customer or a tendering office can check it in seconds.
The price is CHF 599 (€599) in the first year, then CHF 399 (€399) per year including the yearly online re-audit. The certificate is valid for 3 years. Billing is an automatic yearly subscription. You can cancel at any time in your customer account to the end of the current year, and the certificate then ends with the paid year. Prices include 8.1% Swiss VAT for customers in Switzerland and Liechtenstein. You do not need an account to buy.
If you also want ISO 14001 or ISO 45001, a multi-standard discount applies: 20% for 2 standards and 30% for 3 or more, also on the yearly fee.
