ISO 9001:2015 Quality Management

ISO 9001 for chemicals and pharma: certified online

Customers, tenders and partners in chemicals and pharma want proof that you control quality. ISO 9001:2015 is the recognised answer. With Zertify you take an online self-assessment of 30 questions and receive your certificate within 4 hours after passing and payment.

01: Why it is asked

Why buyers in chemicals and pharma ask for ISO 9001

In chemicals and pharma, a product that is slightly off specification can cost a customer an entire production run. Buyers therefore want to know how you control quality before they place an order. ISO 9001:2015 gives them a common, widely understood answer.

Tenders, supplier questionnaires and partner reviews often ask for a quality management certificate. This applies to formulators, contract manufacturers, distributors, laboratories and packaging suppliers alike. A valid certificate shortens these checks and puts you on the shortlist.

Be clear about scope. ISO 9001 is a general quality management standard. It does not replace product approvals, licences or industry-specific requirements that apply to your products. It shows that your organisation manages quality in a structured, documented and improving way.

02: Processes and risks

Typical processes and risks the standard addresses

ISO 9001 does not tell you how to make a solvent or a tablet. It asks you to define your processes, assess risks and keep evidence that you follow your own rules. In this sector the risks are familiar, and so are the tools to manage them.

Batch records
The documented history of one production lot: materials used, process steps, settings and who carried them out.
Specifications
Defined limits for raw materials, intermediates and finished products, for example purity, concentration or particle size.
Deviations
Any departure from the planned process or specification, such as a temperature outside the set range. Each one is recorded, assessed and corrected.
Change control
A routine for changes to recipes, suppliers, equipment or packaging, so that no change enters production unassessed.
Supplier qualification
Checking that suppliers of raw materials and packaging meet your requirements before the first order and at regular intervals.
Traceability
The link between lot numbers of inputs, finished products and customer deliveries, so affected lots can be found quickly.
Calibration
Keeping scales, pH meters, thermometers and other measuring equipment checked against reference values.
Complaints and returns
Customer feedback is logged, investigated and fed back into improvement.

You probably manage most of these already. ISO 9001 asks you to describe them, assign responsibility and check that they work.

03: Requirements

How a company meets the key requirements in practice

The standard follows the high level structure used across ISO management system standards. The table shows what each key requirement can look like in a chemicals or pharma business.

Key ISO 9001 requirements with examples from chemicals and pharma
RequirementISO clauseExample in practice
Understand the context of the organisation4A contract manufacturer lists its interested parties, such as customers, suppliers, staff and authorities, and what each expects.
Quality policy and measurable objectives5, 6Management signs a short policy. Objectives cover, for example, the rate of rejected lots or on-time delivery.
Risks and opportunities6A risk list covers supplier failure, cross-contamination and storage conditions, each with an action.
Define and control processes8Work instructions for weighing, mixing, filling, labelling and release, with checks at defined points.
Resources and competence7Training records for operators and laboratory staff, plus a calibration plan for measuring equipment.
Monitor performance and improve9, 10Complaints, deviations and internal checks are reviewed regularly. Corrective actions are followed until closed.

Small companies do not need heavy documentation. Keep it short, usable and true to how you actually work.

04: Preparation

Preparing for ISO 9001 certification in five steps

Good preparation makes the self-assessment straightforward. Most of the material already exists in your daily work.

  1. Define the scope

Decide which sites, products and services your quality management system covers.

  2. Set policy and objectives

Write a short quality policy and choose two or three objectives you can measure.

  3. Map your core processes

Follow the path from order and incoming goods through production and release to delivery.

  4. List risks and actions

Note the main risks to quality and the measures you already take against them.

  5. Gather evidence

Collect records, training logs, calibration certificates and your complaint log in one place.

You can cancel at any time to the end of the current year in your customer account. If you cancel, the certificate ends with the paid year. If you need a second or third standard, for example ISO 14001 or ISO 45001, Zertify gives 20% off for two standards and 30% off for three or more. The discount also applies to the yearly fee.

06: Choosing a route

Online certificate or the classic route with an on-site audit

Some customers and tenders describe how a certificate must be obtained. Read the wording in your tender documents or ask your customer before you choose. If the requirement is simply a valid, verifiable ISO 9001 certificate, the online route is fast and transparent.

The classic route is an on-site audit by a certification body. It usually takes more time to arrange and costs more. Compare both routes and decide which one fits your customers.
