ISO 9001:2015 for real estate

ISO 9001 for real estate: proof that your service is under control

Owners, investors and partners often want to see how a real estate company works before they hand over a property. ISO 9001 gives you a recognised answer: a documented quality management system for sales, management and maintenance. With Zertify you complete an online self-assessment of 30 questions and receive your certificate within 4 hours after passing and payment.

01: Demand

Why clients and partners ask for ISO 9001 in real estate

Real estate is a service built on trust. An owner gives you a valuable asset. A tenant expects repairs to be handled. A buyer expects accurate information. In all three cases the client cannot see your internal work, only the result.

ISO 9001:2015 is the world's leading standard for quality management systems. It does not tell you how to sell or manage property. It asks you to define how you work, to check that it works and to improve it. That is why property owners, housing associations, institutional investors and public bodies may ask for it when they select a manager or a broker, or when a tender asks for a quality certificate.

For a small or medium agency, a certificate also helps in daily business. It shortens answers to questionnaires from partners. It shows new clients that your processes are written down and not only in the heads of two or three people.

02: Processes and risks

Which real estate processes and risks ISO 9001 addresses

The standard follows the logic of your business: understand the context, plan around risks, run controlled processes, measure results and improve. In real estate, the typical weak points are easy to name. The table shows where the requirements apply.

Typical real estate processes, their risks and the matching ISO 9001 requirement
ProcessTypical riskWhat ISO 9001 asks for
Marketing and saleIncomplete or outdated property information reaches buyersControlled documents and defined checks before publication (clause 7 and 8)
Letting and viewingsInconsistent handling of applicants, missed follow-upsA defined process with clear responsibilities (clause 8)
Property managementOwner requests are lost between staffDefined communication and recorded decisions (clause 7 and 8)
Maintenance and repairsSlow response, unclear orders to contractorsControl of external providers and evaluation of their performance (clause 8)
Service charge statementsErrors in figures, late deliveryChecks, deadlines and measurable objectives (clause 6 and 9)
ComplaintsThe same problem returns again and againRecording, root-cause review and corrective action (clause 10)

You do not need to build a large system. A small agency can cover these points with short process descriptions, a few checklists and a simple record of complaints and actions.

03: Key terms

ISO 9001 terms explained with real estate examples

The language of the standard can sound abstract. Here is what the main terms mean in a property business.

Context of the organisation (clause 4)
Who depends on you and what shapes your work. For a property manager: owners, tenants, contractors, the local market and the types of building you look after.
Quality policy and objectives (clause 5 and 6)
A short statement of your quality aims, with figures you can check. Example: every tenant request is acknowledged within one working day.
Risks and opportunities (clause 6)
What could go wrong or help you. Example: reliance on one caretaker is a risk. A digital handover protocol is an opportunity.
Documented information (clause 7)
The records and instructions you keep. Examples: viewing checklist, handover protocol, contractor list, template for owner reports.
Control of external providers (clause 8)
How you choose and review suppliers. Example: an annual review of plumbers, cleaners and gardeners based on response time and quality of work.
Customer satisfaction (clause 9)
How you learn what clients think. Example: a short survey after a sale or after a repair is completed.
Nonconformity and corrective action (clause 10)
A failure and the fix. Example: a wrong figure in a statement is traced to a template error, and the template is corrected.

04: In practice

How a real estate company meets the key requirements

The six key requirements of ISO 9001 translate into a few concrete steps. This is a realistic path for an agency or property manager with a small team.

  1. Describe your context

List your client groups, the services you offer and what each group expects. One page is enough.

  2. Set the policy and objectives

Write a short quality policy. Add two or three measurable objectives, such as response times or the share of statements sent on schedule.

  3. Assess risks and opportunities

Go through sales, letting and management. Note where errors are likely and what you do about each.

  4. Define and control the processes

Write short descriptions for the core flows: new mandate, viewing, handover, repair order, statement. Name who is responsible.

  5. Ensure resources and competence

Record who is trained for what. Plan an induction for new colleagues and check that substitutes are covered.

  6. Monitor and improve

Review your objectives, complaints and survey results at least once a year. Decide on actions and follow them up.

05: With Zertify

Get your ISO 9001 certificate for real estate with Zertify

Zertify is an online platform that issues ISO certificates based on a self-assessment. You answer 30 yes/no questions about how your company works. You pass with 20 of 30. No account is needed to buy.

Every assessment is reviewed by SICE, the Swiss Institute of Certification and Education. The certificate is issued by G6 Agency AG under licence from SICE, within 4 hours after passing and payment. There is no on-site audit. Each certificate can be verified publicly by its number and QR code, so a client or partner can check it in seconds.

The price is 599 CHF (599 EUR) in the first year, then 399 CHF (399 EUR) per year including the yearly online re-audit. The certificate is valid for 3 years. It runs as an automatic yearly subscription that you can cancel at any time to the end of the current year in your customer account. If you cancel, the certificate ends with the paid year. Prices include 8.1% Swiss VAT for customers in Switzerland and Liechtenstein.

If your company also needs another standard, a multi-standard discount applies: 20% for 2 standards and 30% for 3 or more, also on the yearly fee.

06: Choosing a route

Online certificate or classic audit: what suits your agency

Some clients or tenders may specify how a certificate must be obtained. Check the wording of your request first. If it only asks for an ISO 9001 certificate, an online route may be enough and saves you weeks of preparation.

The classic route with an on-site audit by a certification body takes more time and usually costs more. If your clients require it, choose it. If they do not, the Zertify route lets you show a verifiable certificate quickly and confirm it each year with a short online re-audit.
