ISO 14001:2015 Environmental Management

ISO 14001 for real estate: environmental certificate online

Property managers, developers and asset managers are asked for proof of environmental management in tenders and supplier questionnaires. Zertify issues an ISO 14001:2015 certificate based on an online self-assessment. Every certificate has a public verification page.

01: Demand

Why do tenders and clients in real estate ask for ISO 14001?

A portfolio of buildings uses energy every hour of the year. Heating, cooling, lighting, lifts and water add up, and every refurbishment adds waste and material flows on top. Institutional owners, public clients and large tenants know this, and they want to see how a manager deals with it.

The request usually arrives as one line in a tender or supplier questionnaire: valid ISO 14001 certificate, yes or no. The purchasing department ticks that box before it reads the rest of your quote. A property manager, facility service or contractor without the certificate can drop out at that step.

Developers meet the question from another side. Investors and lenders that look at the environmental side of their portfolios want to know how risks are controlled in the firms they work with. A documented system gives you an answer that does not depend on who picks up the phone.

02: Aspects

Which environmental aspects does a property business have?

The standard asks you to identify your environmental aspects, meaning the activities that cause an impact (clause 6, Planning). In real estate they sit mostly in the operation of buildings and in the construction work you commission.

Building energy
Heating, cooling and ventilation in the buildings you own or manage. The impact is emissions, and running costs that your tenants carry.
Refurbishment waste
Demolition material, old fittings, packaging. Sorting on site and recording where each fraction goes belongs to this aspect.
Water
Consumption in common areas, irrigation of outdoor spaces, leaks that show up only as a rise in meter readings.
Refrigerants and building technology
Cooling plant and heat pumps contain substances that must not escape during maintenance.
Hazardous materials in older buildings
Refurbishing an older building can expose materials that need special handling. Who checks, and who is informed, has to be defined.
Contractors and tenant fit-outs
Much of the impact arises on your sites but through the work of other firms. Clause 8 (Operation) expects you to control it.

03: Requirements

How does a property company meet the key requirements?

The six core requirements of ISO 14001 translate into ordinary management tasks. For a property business they look like this.

  1. Identify aspects and impacts

List each building type, its heating system and the work contractors carry out there. Rate which aspects matter most.

  2. Record compliance obligations

Keep a register of the laws and permits that apply to your buildings and sites, with a responsible person and a review date. You fill it from your own situation; the standard does not list them for you.

  3. Set an environmental policy

One page, signed by management: commitment to prevent pollution, to comply with obligations and to improve. Staff and tenants should be able to read it.

  4. Plan objectives and actions

Lower heating energy in one residential block by replacing a controller. Reduce unsorted refurbishment waste. Each objective gets an owner and a date.

  5. Prepare for emergencies

Plan for a heating oil leak, a burst pipe or contaminated fire water. The caretaker knows whom to call, and the plan is tested once.

  6. Monitor and report

Read meters monthly, record waste volumes per project and discuss the figures in a management meeting.

04: Evidence

What does the evidence look like in a property company?

A client or auditor rarely wants a thick manual. They want a short document for each question. The table shows the questions you meet most often and what answers them.

Typical questions from tenders and customer audits, with the document that answers them
QuestionDocument that answers itOwner
Do you know your environmental impacts?Register of aspects per building typeHead of operations
Which rules apply to you?Compliance register with permitsAdministration or legal
Do contractors follow your rules?Contractor briefing and signed site rulesProject manager
What happens in an incident?Emergency plan with contact listFacility manager
How do you improve? Objectives, reviewed once a year in a management meetingManaging director

Most firms already hold half of these documents under other names. The work lies in collecting them and giving each one an owner.

05: Zertify

How do you get an ISO 14001 certificate with Zertify?

The self-assessment is free and has 34 yes/no questions on ISO 14001:2015. 14 of them are mandatory requirements of the standard and must all be answered yes. Of the other 20, at least 14 need a yes. After you pass and pay, the certificate arrives within 4 hours. No account is needed to buy.

The certificate is issued by G6 Agency AG under licence from SICE, and SICE reviews every assessment before it is issued. There is no on-site audit. Each certificate carries a number and a QR code on the PDF that lead to a public verification page, so a purchasing department can check it in seconds.

The price is CHF 699 (€699) in the first year, then CHF 469 (€469) per year including the yearly online re-audit. The certificate is valid for 3 years. Billing is an automatic yearly subscription. You can cancel at any time in your customer account, effective at the end of the current year, and the certificate then ends with the paid year. Prices include 8.1% Swiss VAT for customers in Switzerland and Liechtenstein. If you add a second standard, you get 20% off, and 30% for three or more, also on the yearly fee.

06: Preparation

What should you settle before you start the self-assessment?

Name one person who owns the environmental topic and make sure management stands behind it. Clause 5 (Leadership) puts the responsibility with top management, not with an assistant. Then gather what you already have: heating and water readings, waste receipts from the last refurbishment, permits, contractor agreements.

Answer the questions as the business works today, not as you would like it to work. The yearly online re-audit checks that your answers still hold. If a client insists on an on-site audit by a certification body, ask them before you buy and compare the routes in the guide.
